Front Eco Autogates Rollout

The Project Manager identified the needs and requirements of the client and demonstrated an innovative approach by setting up a platform on Smartsheet Online Tool that would smoothen the delivery process and make it more efficient and limiting site visits. The platform assisted with the tracking of the program and ensured quality control. Preferred contractors were trained on how to use the online forms and submit their completion photos. Defects close out were also managed through Smartsheet with all defects aiming to be close out within one week of works completion.

Empire have overseen the installation of autogates in over 90 stores in QLD. Our main responsibilities included scoping and tendering of works, tender assessment and recommendation, contractor training on how to use Smartsheet Online forms, stakeholder management, management of delivery of works and close out of defects. Client reporting was achieved through a live dashboard which was fed by the online forms filled out by contractors.

The Challenges

To delivery the project on time and within budget whilst minimising impact to store operations. There were challenges with stores within shopping centres that required further approvals from building management. Many store projects commenced and were completed at the same time which made it difficult to be able to physically attend all sites.

The Solutions

Working with the relevant contractors we were able to re-work the program to deliver to stores that did not require building management approvals at the front end. The inability to physically visit all stores was addressed with the use of the Smartsheet online tool that smoothened the delivery process and made the project more efficient. Preferred contractors were trained on how to use the online forms and submit their completion photos. Defects were also managed through Smartsheet.

The Outcomes

The project involved the successful installation of Ecomm stores into 20 Woolworths supermarkets across QLD within extremely tight deadlines. Defects were all closed out within one week of works being completed. The project was delivered within an operationally live environment where disruption to everyday trade was minimised.
